A clear RFQ shortens the quotation process
Product names can vary between markets and suppliers. A useful request for quotation describes the product, workpiece, machine and commercial requirements together. This helps the supplier confirm feasibility and reduces repeated clarification.
1. Product and dimensional information
- Product type or a clear reference photo.
- Outside diameter, width or thickness.
- Bore, arbor, thread or shank dimensions.
- Abrasive grain, grit, density, hardness or wire specification if known.
- Maximum RPM and compatible machine.
- Drawing, sample or existing part number when available.
When an exact specification is unknown, state the values you have and mark the others for supplier recommendation.
2. Application information
- Workpiece material and approximate hardness.
- Current surface condition, including rust, welds, burrs or coating.
- Required operation: cutting, blending, deburring, cleaning or polishing.
- Target finish, roughness, visual sample or acceptable reference.
- Manual, portable-tool, robotic or fixed-machine use.
- Any requirements related to heat, contamination or dimensional tolerance.
Application details are especially important when requesting a substitute for an existing product or developing a custom brush or wheel.
3. Quantity and packaging
- Trial quantity and expected order quantity.
- Estimated annual demand or purchasing frequency.
- Pieces per inner box and carton if a specific pack is required.
- Carton-marking, barcode and pallet requirements.
- Destination country, port or delivery address for freight planning.
For a new specification, separating sample, trial and production quantities makes the development sequence clearer.
4. OEM and private-label requirements
- Brand name and logo files.
- Label, center plate, backing print or product-color requirements.
- Retail or industrial packaging format.
- Language, warning and market-specific information.
- Required inspection documents or packaging approvals.
- Target launch date and artwork approval deadline.
A concise RFQ example
Product: 100 mm non-woven finishing wheel
Workpiece: Stainless-steel sheet
Application: Blend light weld discoloration and produce a consistent satin line
Machine: Angle grinder; 16 mm mounting
Quantity: 100 pieces for trial, followed by an estimated 1,000 pieces per order
Packaging: Neutral packaging initially; private-label quotation also requested
Photos of the workpiece, current tool and desired finish can often answer questions that dimensions alone cannot.
